Directorate of Finance & Resources

The Directorate of Finance and Resources is one of three Directorates in the College and incorporates the following functional areas, namely:

  • Finance
  • Human Resources
  • Estates
  • Corporate Legal Services
  • Exams
  • Student Records
  • Compliance
  • Campus Administration/Reception
  • Contracted-out Services (including Refectories and Security Services)

The Finance team is responsible for all matters financial, including cash flow, asset register, VAT, management accounts, statutory accounts and financial management information. It administers centrally all purchases and invoicing.

The Human Resources Unit is concerned with all matters relating to College staff, and their relationship within the College both at a strategic and operational level. By keeping abreast of legislative changes and constant reviews of best practice, the team provide cross-college critical support to Academic, Support Staff and Managers and has a major role to play in ensuring the College meets its strategic objectives.

Through its activities the Unit aims to recruit and retain appropriate numbers of skilled and committed staff, providing a platform from which they can effectively work towards the achievement of their own goals.

  • Communication and consultation with Staff and Staff Representatives
  • Human resources planning
  • Personnel administration

The Estates Team provide a wide and varied number of support functions to the College. They include:

  • As part of our Property Strategy, the development of the College Estate is managed within the service area.
  • Security services are managed by Estates who act as client to “The Corps” who are the College contractors appointed to provide customer focused service responding to staff, students and visitors to our campuses.
  • Refectory services are operated on the Colleges behalf by Catering Academy, who are an independent contracted company. Their key objective is to provide a value for money catering service to the students of Wakefield College.
  • The caretaking function within Estates ensures that all areas of our campuses are ready for use and support teaching and learning. Caretaking is an integral part of Estates that strives to deliver an excellent front of house service to staff, students and visitors to the College.
  • The cleaning service provided by Estates ensures all our staff, students and visitors have a safe clean working environment to study or work within.
  • Our maintenance service ensures facilities are suitable for purpose and plans improvements and refurbishments through the College Asset Plan. The Estates maintenance team also plan and deliver cyclical maintenance to plant and equipment as well as responsive repairs and breakdowns and are committed to maintaining College premises to a high standard at all times.
  • Resources are a centralised co-ordination service, responsible for room bookings, and car parking spaces in the Quad at Wakefield. They ensure allocation of appropriate room, layout and equipment to meet the needs of the user. Resources also monitor energy consumption and vehicle bookings.
  • Estates operate the fleet of vehicles provided for College use. They are based at the skillsXchange. Estates ensure they are maintained regularly to a high standard and clean and fuelled ready for use.
  • Our health and safety team are committed to providing an environment that is healthy and safe for staff, students, visitors and members of the public. The team develop, amend and deliver policies guidance and information on all aspects of health and safety as well as deliver training and audit functions to ensure compliance.

Corporate Legal Services is responsible for ensuring that all contracts supplied by external organisations are legally reviewed and the requirements specified under the contracts are explained fully to staff concerned before being entered into by the College. It is also responsible for the drafting of contracts for which members of staff have negotiated terms with organisations in respect of the provision of services. In addition, personal injury, breach of contract and discrimination claims made by, or against the College, also involve the College’s Legal Officer.

The Exams Office is located within at the Wakefield Campus. It is chiefly responsible for:

  • registering learners with awarding bodies
  • entering learners for exams
  • organising and running exams
  • processing claims for assessed qualifications
  • issuing results and certificates
  • recording results for funding and statistical purposes

The Student Records team is also located at the Wakefield Campus. It is chiefly responsible for:

  • setting up curriculum codes
  • enrolling learners
  • producing registers
  • recording attendance data
  • updating of learner records
  • verification of learner records at census dates
  • processing of applications forms received from potential full time students

The Compliance Unit is responsible for co-ordinating the College's risk management plan and its response to identified risks; facilitating the College's internal and external audit programmes; undertaking reviews of College systems where weaknesses have been identified; and communicating issues and developments in the Colleges corporate governance and internal control systems to the Board of Governors.

The Campus Administration/Reception teams are based at each of the main sites, they perform similar roles to the Student Records Office as well as providing the following:

  • recording of staff and student sickness
  • administrative support to Academies
  • processing of applications forms received from potential students
  • lost and found property
  • a reception service for visitors, staff and students
  • operation of the College switchboard
  • processing of the College mail both internal and external
  • issue of day passes and replacement student ID cards

Each of the areas within the Directorate of Finance and Resources has dedicated staff who, between them, have a wealth of knowledge and experience of College procedures and systems. We welcome and encourage open communication with staff to ensure that our systems and procedures not only meet the needs of the College but are also fully understood by all appropriate staff.
